The challenge
The problem we set out to solve.
Each of the agency's twelve agents was manually writing listing descriptions, composing follow-up emails, preparing market comparison reports, and managing client communication. Senior agents were spending 30% of their week on administrative tasks instead of closing deals. The agency was capped by overhead. Every agent that joined needed training on systems. Every process required human oversight. Growth meant more people, not more efficiency. The bottleneck was clear: administrative work was choking out selling time. But the agency couldn't afford to hire administrative staff for every agent.
The solution
What we built and deployed.
We deployed AI assistants for the entire team - each trained on the agency's brand voice, local market data, and MLS integrations. The system auto-generates listing descriptions from property data, drafts personalized follow-up sequences, produces weekly market reports, and handles initial client inquiry responses. Each agent got their own AI assistant, tuned to their preferences and local market. The system learned which follow-up approaches worked best and adapted over time. Setup took 2 weeks. Training for each agent took 2 days (mostly learning to trust the AI). Within a month, the impact was undeniable.
